Speed to Lead on WhatsApp: Why the First 5 Minutes Matter

October 22, 2026•3 min read

Speed to lead is how quickly you respond to a new enquiry, and it matters more than almost anything else in your sales process. One stat I show on stage: contacting a lead within five minutes is 21 times more effective than calling within 30 (source). WhatsApp is the easiest way I know to hit five minutes every single time.

Why the first five minutes matter

When someone fills in your form, you have their attention. They're thinking about the problem right now. They're probably also filling in two other companies' forms.

Every minute you wait, that attention drifts. Make them wait a few hours and you're no longer the business they enquired with. You're a missed call from a number they don't recognise.

Most businesses I meet take hours to respond. Some take days. Not because they don't care, but because the enquiry lands while they're with a customer, on a job, or asleep.

Why WhatsApp wins the race

  • It's instant. An automated message goes out the moment the form is submitted, day or night.
  • It's where people already are. A WhatsApp message from a business they've just contacted gets read.
  • It's easy to answer. Buttons mean they can reply with a tap, even if they're busy.
  • It keeps the conversation open. When your team picks it up, the chat is already going.

How to set it up

  1. Trigger on the enquiry. Form submitted, call missed, ad lead captured: whatever starts the conversation.
  2. Send an approved template within a minute. Short, first name, one question: "Hi Sarah, thanks for getting in touch. Is this for you or for your business?"
  3. Add quick-reply buttons so answering takes a tap.
  4. Alert a human when they reply. The automation buys you time. A person closes the sale.
  5. Follow up once or twice if there's no reply, then stop.

Your leads are human beings

Fast doesn't mean robotic. The first message should sound like you'd say it face to face. No paragraph of terms and conditions, no three links, no discount code in the first line.

Speed gets their attention. Sounding human keeps it.

How to check how fast you are

Fill in your own website form tonight and time how long it takes for anyone to get back to you. Then do it again at 3pm on a Tuesday. Whatever those numbers are, you now know what your leads experience.

Quick answers

What is a good speed-to-lead time?

Aim for under five minutes, every time. With an automated WhatsApp first reply, the first contact can be under a minute, even out of hours.

Isn't an automated first reply a bit impersonal?

Not if it's written well and a real person follows up when they reply. Most people would rather have a friendly, instant message than a perfect one three hours later.
